The transaction record routine.

General organisation prompts for keeping source material, working entries and exceptions connected.

1. Define the collection

Name the records you are organising and the period or matter they concern. Keep unrelated collections distinguishable.

Follow the actual responsibilities and access arrangements for the material.

2. Preserve the source context

Record where each document came from and its reference or version. Keep relevant accompanying correspondence.

Do not turn a remembered detail into an apparent source fact.

3. Build the index

Choose compact fields for identity, description, status, location and open question. Use consistent labels.

Keep sensitive contents out of a broadly shared index where they are unnecessary.

4. Compare a bounded pair

Identify the records being compared and which fields the comparison covers. Save enough context for review.

A difference may need clarification about timing or version before it can be explained.

5. Log the exception

Describe the unresolved point and name who is following it up. Keep the underlying sources available.

Do not fill a gap with a convenient value or assume a professional treatment.

6. Record the clarification

Save the source of an answer and update the working status consistently. Explain why the entry changed.

For specialist decisions, keep the qualified advice in its proper context.

7. Prepare the handover

Check that an authorised reader can locate the sources and distinguish open from resolved points.

Leave the remaining questions and their owners visible. A complete-looking folder is not proof every issue is settled.
